Cost per person = total event budget ÷ participants. These worked examples illustrate the calculation; they are not supplier quotes or market averages.
| Example | Total budget (USD) | People | Cost per person (USD) |
|---|---|---|---|
| A | 120,000 | 80 | 1,500 |
| B | 200,000 | 80 | 2,500 |
| C | 280,000 | 80 | 3,500 |
These ranges are indicative only and are not a quote. The actual price depends on the destination, season, group size and level of service.
These are three illustrative budget envelopes, not destination or hotel packages. No supplier availability or programme inclusions are implied. A real price requires your dates, destination, participant count and scope.
Request a budget for your European corporate event. Send your brief and ask for the total and per-person price on the same basis.
What should a per-person corporate event budget include?
A venue day rate, a day-delegate package and a complete multi-day programme cover different things. Before comparing totals, ask each producer to fill in the same scope:
| Budget item | Specify in the brief | Confirm in the proposal |
|---|---|---|
| Accommodation | Number of nights, room allocation and hotel requirements | Occupancy basis, breakfast, taxes and cancellation terms |
| Travel and transfers | Departure points, arrival windows and group movements | Flights, baggage, airport transfers and local transport included or excluded |
| Venue and production | Agenda, room layout, stage, sound, lighting and content | Hire periods, equipment, crew, setup and dismantling |
| Food and drink | Meals, dietary needs and service format | Menu, drinks, staffing and minimum spend |
| Activities | Objectives, timing and accessibility needs | Group capacity, transport and weather alternatives |
| Event management | Planning, participant coordination and on-site responsibilities | Named responsibilities, service scope and change process |
| Other costs | Insurance, permits and a reserve for changes | Included amounts, exclusions and who approves additional spending |
Use one currency throughout the comparison. Ask whether taxes are included and whether a supplier quote in another currency has a fixed conversion basis. Do not compare a room-only hotel rate with an event package that also includes production and travel.
How group size changes the calculation
Some costs are shared across the group; others increase with each participant. A planning worksheet can separate them:
Total budget = shared costs + (per-person costs × participants) + separately agreed items.
For example, assume shared costs of USD 24,000 and participant-dependent costs of USD 1,200 each. With 80 participants, the arithmetic is USD 120,000 in total, or USD 1,500 per person. With 60 participants and the same assumptions, it is USD 96,000, or USD 1,600 per person. This is a calculation example, not a pricing forecast: actual supplier minimums and capacity changes may alter both components.
Keep the participant definition consistent. If a proposal includes staff, speakers or companions, confirm whether they are counted in the denominator as well as in the costs.
Barcelona, Prague or another European destination?
Compare proposals for the same dates, duration and scope before deciding that one city is better value. Hotel location, venue requirements, technical production and travel origins can change the programme as much as the destination itself.
For Barcelona, use our corporate event planning guide to prepare the local brief. For venue selection across destinations, see the European corporate venue FAQ. For the partner’s responsibilities, use the conference production company selection guide.
Turn the planning budget into a proposal
Send Uproduction Events:
- Preferred dates, alternatives and programme duration.
- Destination shortlist and participants’ departure locations.
- Participant count, room allocation and accessibility requirements.
- Event objectives, agenda and production requirements.
- Target total budget, currency and required inclusions.
Ask for a dated proposal showing the scope, exclusions, payment schedule, cancellation terms and process for approving changes. A planning allowance becomes a usable event budget only when those assumptions are explicit.
Uproduction Events produces corporate events, conferences and incentive programmes. Operating since 2010, the company has delivered 1,500+ events across 130+ destinations for 25,000+ participants.
Send your event brief to discuss your programme.
