Corporate Event Insurance Guide

Insurance is the safety net that protects your corporate event investment. A cancelled conference, an injured attendee, damaged venue property, or a vendor no-show can turn a successful event into a financial and legal liability. Yet event insurance is one of the most commonly overlooked planning elements — often considered only when a problem has already occurred.

This guide covers the types of event insurance available to European companies, what they cover, how much they cost, and when they are essential.

Types of Event Insurance

1. Public Liability Insurance

What it covers: Third-party bodily injury or property damage occurring at or because of your event. If an attendee trips on a cable, falls from staging, or is injured by event equipment, this policy covers legal costs and compensation.

Who needs it: Every event. Most venues require proof of public liability insurance before allowing an event to proceed.

Coverage level: Minimum EUR 2 million for small events. EUR 5–10 million for large events or those with higher risk activities.

Cost: EUR 200–1,000 per event depending on group size and activities.

2. Event Cancellation Insurance

What it covers: Financial losses if the event must be cancelled, postponed, or curtailed due to covered reasons — extreme weather, venue unavailability, speaker illness, government restrictions, or natural disasters.

Who needs it: Any event with significant non-refundable costs. Essential for events costing EUR 20,000+.

What it typically does NOT cover: Cancellation by choice, poor ticket sales, pandemics (unless specifically added), or pre-existing conditions known at the time of purchase.

Coverage level: Up to 100% of total event costs.

Cost: Typically 1–3% of the insured amount. A EUR 100,000 event costs EUR 1,000–3,000 to insure.

3. Employer’s Liability Insurance

What it covers: Injuries or illnesses to your employees while working at the event.

Who needs it: Mandatory in most European countries if you have employees. Your existing company policy usually covers this, but verify it extends to event activities and international locations.

4. Travel Insurance (Group)

What it covers: Medical expenses, trip cancellation, lost luggage, and travel delays for attendees travelling to international events.

Who needs it: All international corporate events. Essential for incentive trips and overseas conferences.

Coverage includes:

  • Emergency medical treatment abroad
  • Medical evacuation and repatriation
  • Trip cancellation and interruption
  • Lost or delayed baggage
  • Personal accident
  • Travel delay expenses

Cost: EUR 30–80 per person for European travel, EUR 50–150 for intercontinental.

5. Professional Indemnity Insurance

What it covers: Claims arising from professional services provided at the event — incorrect information presented, advice that causes financial loss, or errors in event management.

Who needs it: Event management companies and consultants. Corporate event organisers if providing professional advice or training at events.

6. Equipment Insurance

What it covers: Damage to, theft of, or loss of event equipment — AV gear, staging, technology, and hired equipment.

Who needs it: Events using expensive equipment, especially at outdoor or non-secure venues.

Note: Many AV rental companies include equipment insurance in their rental agreements. Verify before purchasing separately.

7. Weather Insurance

What it covers: Financial losses specifically caused by adverse weather — rain above a defined threshold, wind speed exceeding a limit, or temperature extremes.

Who needs it: Outdoor events where weather directly impacts feasibility. Particularly relevant for summer festivals, garden parties, and outdoor team building.

How it works: Parametric insurance that pays out based on measured weather data from a nearby weather station, regardless of whether the event actually suffered losses.

Cost: Varies significantly based on location, season, and trigger parameters.

When Insurance Is Essential

| Event Type | Essential Insurance | Recommended Insurance |

|———–|——————-|———————|

| Indoor conference (domestic) | Public liability | Cancellation |

| Outdoor event | Public liability, weather | Cancellation, equipment |

| International incentive trip | Travel, public liability | Cancellation |

| Team building with physical activities | Public liability (enhanced) | Travel, cancellation |

| Large-scale conference (500+) | Public liability, cancellation | Equipment, weather |

| Event with VIP speakers | Public liability, cancellation (key person) | Professional indemnity |

How to Purchase Event Insurance

Step 1: Assess Your Risks

Identify the specific risks your event faces:

  • Financial exposure (total non-refundable costs)
  • Attendee safety risks (activities, venue type, travel)
  • Weather vulnerability (outdoor elements)
  • Cancellation triggers (venue dependency, key person dependency)
  • Equipment value at risk

Step 2: Get Specialist Quotes

Use event insurance specialists rather than general insurers:

  • Hiscox: Strong in European event insurance with online quoting.
  • Allianz Global Assistance: Group travel insurance for international events.
  • AXA XL: Large-scale event and entertainment insurance.
  • Zurich: Corporate event packages for European businesses.

Step 3: Review Policy Details

Before purchasing, verify:

  • Covered perils: Exactly what triggers a payout.
  • Exclusions: What is NOT covered (read these carefully).
  • Excess/deductible: The amount you must pay before coverage begins.
  • Claims process: How to file a claim, documentation required, and payout timeline.
  • Geographic scope: Does the policy cover the event location?
  • Cancellation window: When must you purchase relative to the event date?

Step 4: Document Everything

Maintain comprehensive records for potential claims:

  • All contracts and invoices
  • Communication records with vendors
  • Photographs of damage or incident
  • Police reports (for theft or criminal damage)
  • Medical reports (for injury claims)
  • Weather data records (for weather claims)

Vendor Insurance Requirements

Ensure all vendors carry appropriate insurance:

| Vendor Type | Required Insurance | Minimum Coverage |

|————|——————-|—————–|

| Caterer | Public liability, food safety | EUR 2M liability |

| AV company | Public liability, equipment | EUR 2M liability |

| Entertainment | Public liability, professional | EUR 1M liability |

| Transport | Vehicle insurance, passenger liability | Legal minimum + EUR 2M |

| Venue | Public liability, fire | EUR 5M liability |

Request certificates of insurance from all vendors and verify they are current before the event.

Frequently Asked Questions

Does Uproduction Events arrange insurance for corporate events?

Yes. Uproduction Events arranges comprehensive event insurance as part of our production services. We assess the specific risks of each event, recommend appropriate coverage, and manage the procurement process. Our existing policies cover public liability for events we produce, and we coordinate additional coverage (cancellation, travel, weather) as needed.

Is event insurance required by law in Europe?

Public liability insurance is not universally required by law for private events, but it is required by virtually every venue and is considered standard practice for professional corporate events. Employer’s liability insurance is mandatory in most European countries. Travel insurance, while not legally required, is strongly recommended for international corporate events.

How much does comprehensive event insurance typically cost?

For a standard European corporate event (200 attendees, EUR 100,000 budget), comprehensive insurance (public liability + cancellation) typically costs EUR 1,500–3,500. Adding group travel insurance for an international event adds EUR 6,000–16,000 (EUR 30–80 per person). Total insurance cost is usually 2–4% of the event budget.
